The Vacation Cost Calculator estimates the total cost of a leisure trip for any size group, breaking the expense into its three major components: hotel accommodation, flights, and daily spending. By showing both the total group cost and the cost per person, it simplifies splitting expenses for couples, families, and groups of friends traveling together.
Vacation costs have risen substantially in recent years. According to the American Express 2024 Travel Survey, the average American planned to spend $6,057 on their summer vacation — a 56% increase from pre-pandemic levels. Airfare and hotel rates have been particularly affected by increased demand and reduced capacity. Understanding the true cost before booking helps travelers set realistic savings goals and compare destination options.
The calculator uses a straightforward model: hotel costs are a fixed nightly rate multiplied by nights, flights are per-person costs multiplied by the number of travelers, and daily expenses (food, activities, local transport, shopping) are multiplied by both the number of travelers and the number of days (nights + 1 to account for arrival and departure days).
Use this calculator early in the planning process to compare multiple destination scenarios side by side. Adjusting the hotel rate between $80 (budget option) and $250 (mid-range) shows how accommodation choice shapes the overall budget — often more than any other single variable.
The three cost components are calculated separately then summed:
Hotel total:
$$\text{Hotel Total} = \text{Rate/Night} \times \text{Nights}$$
Flight total:
$$\text{Flight Total} = \text{Cost/Person} \times \text{Travelers}$$
Daily expenses total:
$$\text{Expenses} = \text{Daily Cost/Person} \times \text{Travelers} \times (\text{Nights} + 1)$$
Cost per person:
$$\text{Cost/Person} = \frac{\text{Hotel Total} + \text{Flight Total} + \text{Expenses Total}}{\text{Travelers}}$$
Note that adding 1 day to the night count (Nights + 1 = days) accounts for the arrival and departure days, which incur food, transport, and activity costs even though they do not include a full night of lodging. For very short trips where arrival and departure are the same day, you could subtract 1 from this to adjust — but for most vacations, the full days count is more accurate.
Compare your cost per person result to market benchmarks. A domestic US vacation (5 nights, moderate hotel, driving or short flight) typically costs $800–$1,500 per person. A Caribbean resort vacation runs $1,500–$3,000 per person. Western European 7-night trip: $2,500–$4,500 per person including flights. Southeast Asian 10-night trip: $1,500–$2,500 per person including long-haul flights.
If your total exceeds your budget, identify which component is largest and explore alternatives: vacation rentals vs. hotels, flying in shoulder season, choosing an alternative destination, or reducing the number of nights in favor of intensity of experience.

A 3-night city break for two costs $2,060 total — $1,030 per person. Flights and hotel are roughly equal at ~$500–560 each, with daily expenses making up the remainder.

A week at the beach for a family of four costs $5,360 total — $1,340 per person. Hotel and flights are the largest equal costs at $1,400 each.
Research from Google Flights and Hopper shows that the optimal booking window varies by destination. For domestic US flights, booking 1–3 months in advance typically yields the best fares. For international flights, 2–6 months in advance is optimal. Flying on Tuesdays and Wednesdays is typically 10–15% cheaper than weekend flights. Shoulder season travel (just before or after peak season) can reduce both flight and hotel costs by 20–40%.
Vacation rentals (Airbnb, VRBO) often provide better value for groups of 3+ people or stays of 5+ nights. A $300/night vacation rental that sleeps 6 works out to $50/person — far cheaper than 3 hotel rooms at $150 each ($450/night total). However, vacation rentals often have cleaning fees ($50–$200) and service fees (15–20% of booking total) that reduce the apparent savings. Always calculate the total cost per night before comparing.
Daily food budgets vary widely by destination and dining preferences. Budget: $30–50/person/day (groceries, street food, casual cafes). Mid-range: $60–100/person/day (mix of casual restaurants and one nicer meal). Splurge: $100–200+/person/day (fine dining, room service, hotel restaurants). In expensive cities like London, Paris, or New York, even mid-range dining easily reaches $80–120/person/day. Booking one hotel room with a kitchenette and cooking breakfast saves $15–25 per person daily.
Travel insurance is strongly recommended for international vacations and advisable for domestic trips with non-refundable bookings. Standard comprehensive coverage costs 4–8% of total trip cost. Key coverages: trip cancellation (reimburses prepaid costs if you must cancel), emergency medical (critical outside the US where your health insurance may not apply), baggage loss, and travel delays. Always read the fine print on pre-existing condition exclusions and coverage limits.
Several splitting methods work depending on group dynamics: Equal split (simplest): divide total by travelers. Proportional split: factor in room type differences (couples in double rooms vs. single travelers). Expense app: use Splitwise or Tricount to track who paid what in real time and settle at the end. Designated payer: one person puts everything on a rewards credit card and others Venmo/PayPal their share — earns maximum points while keeping accounting clean.
Common overlooked costs include: airport parking ($15–40/day for 7 days = $105–$280), checked baggage fees ($35–70 each way per bag), resort fees ($20–50/night not included in advertised hotel rate), visa fees ($20–160 depending on destination), travel vaccinations if required ($50–200), international SIM card or phone plan ($30–80), and tips/gratuities in tip-culture destinations (15–20% on meals, hotel housekeeping $2–5/night). Adding $100–200 per person for miscellaneous costs is prudent.
